Setup Checklist

Use this checklist to make sure everything is in place before you go live with Fareplay. Work through each section in order for the smoothest launch.

Pre-Launch Preparation

Complete these items before you begin configuring your Fareplay account.

Create your Fareplay account

Sign up at fareplaygolf.com with your course email address.

Prepare your Stripe account information

Gather your EIN, bank routing number, and account number for payment setup.

Connect Stripe to Fareplay

Complete the Stripe onboarding flow from your dashboard to enable payment processing.

Finalize your menu items and pricing

Decide on all food and beverage items, categories, descriptions, and prices before entering them.

Photograph menu items

Take clear, well-lit photos of each item. Square format works best in the app.

Identify your cart fleet

Determine how many beverage carts you will operate and name each one for easy tracking.

Brief staff on Fareplay

Introduce your team to the platform and explain how orders and GPS tracking will work.

Configuration

Set up your venue in the Fareplay dashboard with these configuration steps.

Add all menu categories

Create categories such as Beer, Wine, Cocktails, Soft Drinks, Snacks, and Meals.

Add menu items to each category

Enter item names, descriptions, prices, and upload photos for each product.

Set up modifier groups

Create options like ice preference, garnish choices, or side selections where applicable.

Register each beverage cart

Add your carts to the system with clear names and assign GPS tracking devices.

Define delivery zones

Map your course into zones (e.g., Front Nine, Back Nine) and assign carts to each zone.

Create employee accounts

Add cart operators, managers, and administrators with the appropriate role for each person.

Configure POS settings

Set tax rates, tip options, and receipt preferences in your dashboard settings.

Set notification preferences

Choose how cart operators receive order alerts (push notification, sound, or both).

Go Live

Final steps before accepting real orders from golfers on your course.

Place a test order as a golfer

Use the golfer app to place an order and confirm it appears on the cart operator device.

Verify GPS tracking accuracy

Drive a cart around the course and confirm the dashboard map updates in real time.

Process a test payment

Complete a full transaction to verify that payment processing and receipts work correctly.

Conduct a staff walkthrough

Walk each cart operator through the order notification, acceptance, and delivery flow.

Prepare golfer-facing signage

Place QR codes and instructions at the clubhouse, on scorecards, and at tee boxes.

Set your venue to Live

Toggle your venue status to "Live" in the dashboard to start accepting real orders.

Monitor your first day closely

Keep the dashboard open on launch day to track orders, response times, and any issues.
