Getting Started with Fareplay

Follow these steps to set up your course on Fareplay and start accepting orders from golfers. Most venues complete setup in under an hour.

Create Your Fareplay Account

Complete the signup form at fareplaygolf.com and you will receive a link to the admin portal.

Connect Stripe for Payments

Fareplay uses Stripe to securely process all payments. From your dashboard, click "Connect Stripe" and follow the guided setup. Stripe will ask for your business details, bank account for deposits, and tax information. Deposits typically arrive in your bank account within 2 business days.

Tips

  • Have your EIN or business tax ID ready
  • You will need a bank routing and account number for direct deposits
  • Stripe setup takes about 10 minutes to complete

Set Up Your Menu

Build your beverage and food menu in the dashboard. Create categories (such as Beer, Cocktails, Snacks, Non-Alcoholic), then add individual items with names, descriptions, pricing, and photos. You can mark items as available or unavailable at any time, and reorder categories to match your priorities.

  • High-quality photos increase order rates by up to 30%
  • Keep descriptions short - golfers are ordering on the go
  • Set up modifier groups for options like "Add lime" or "Extra ice"
  • Use categories to organize items the way golfers think about them
  • Import menu items from Excel and our AI assistant will guide you

Configure Your Carts and Delivery Zones

Add each beverage cart in your fleet and assign them to zones on your course. Fareplay uses GPS tracking to show golfers which carts are nearby. Define delivery zones (for example, Holes 1-6, Holes 7-12, Holes 13-18) so orders are routed to the closest available cart for the fastest delivery.

Tips

  • Name carts clearly (e.g., "Cart A - Front Nine") for easy identification
  • Delivery zones can overlap to provide backup coverage
  • Adjust zones based on your course layout and typical cart routes

Add Employees and Set Permissions

Invite your staff, managers, and administrators to the platform. Assign roles that control what each person can access. Staff see incoming orders and GPS routing. Managers can update menus and view reports. Administrators have full access to all settings and financials.

Tips

  • Staff only need a phone number to receive their login link
  • Manager accounts can handle day-to-day menu and schedule changes
  • You can deactivate accounts instantly if staff changes occur

Go Live and Accept Your First Orders

Before going live, run a few test orders with your staff to make sure everything flows smoothly. Verify that orders appear on the cart operator devices, GPS tracking is accurate, and payments process correctly. Once you are confident, flip the switch to "Live" in your dashboard and start accepting real orders from golfers.

Tips

  • Run at least 3 test orders before going live
  • Brief your entire staff on the order flow and notification sounds
  • Consider a soft launch on a slower day to iron out any issues
  • Place signage at the clubhouse and on scorecards to promote the app
